1. Who is responsible for your information
JAXN Intelligence (Pty) Ltd (registration number 2026/309131/07) is the responsible party for the personal information described in this policy. Our Information Officer is Bradley Jackson, contactable at admin@jaxn.co.za or at 330 Hippo Ave, Zwartkops X7, 0157, South Africa.
This policy covers the software, data products and websites of JAXN Intelligence (Pty) Ltd. JAXN Capital is a separate legal entity and is not covered here.
2. What we collect
- Account and contact details — name, work email, company name, telephone number, and the seat(s) assigned to you.
- Billing information — the plan you are on, invoices, payment status and references. We do not receive or store your full card number or CVV; card data is entered directly with our payment processor (see section 5).
- Usage and technical data — log data, device/browser information, IP address and analytics about how the Service and website are used.
- Communications — messages you send us (for example enquiries or support requests) and our replies.
3. Why we use it, and our lawful basis
We process personal information to:
- provide, deliver and support the Service, and manage your account and seats;
- take payment, issue invoices and keep accurate financial records;
- respond to your enquiries and provide customer support;
- improve, secure and maintain the Service; and
- comply with our legal, tax and regulatory obligations.
We rely, as applicable, on the performance of our contract with you, our legitimate business interests, compliance with the law, and — where required — your consent (for example, to send you the report by email). Under POPIA we collect only what we need, use it for the purposes above, and keep it accurate.
4. Email delivery and consent
Where a product is delivered by email (such as the Herald report), we send it to the address on your subscription on the basis of that subscription and your opt-in. You can withdraw consent to marketing or to email delivery at any time by emailing us; withdrawing delivery consent may mean we can no longer provide an email-delivered product.
5. Who we share it with
We do not sell your personal information. We share it only with trusted service providers who help us run the business, under appropriate confidentiality and data obligations, including:
- Payment processing — our card processor handles card payments and the storage of card data under the PCI-DSS security standard. We receive only the result of a transaction (success/failure, amount, reference), not your card number.
- Hosting and infrastructure — providers that host this website and the Service.
- Email and analytics — providers that deliver our email and give us aggregate website analytics.
- Professional and legal — our accountants or advisers, or a regulator or court, where the law requires it.
6. Cross-border processing
Some of these providers may process information outside South Africa. Where that happens, we take reasonable steps to ensure your information receives a level of protection consistent with POPIA.
7. How long we keep it
We keep personal information only as long as needed for the purposes above — for the life of your account and thereafter as required to meet legal, tax and accounting obligations (financial records are generally kept for at least five years) — after which we delete or anonymise it.
8. Your rights under POPIA
You have the right to:
- ask what personal information we hold about you and request access to it;
- ask us to correct or delete information that is inaccurate or no longer needed;
- object to certain processing, and withdraw consent where we relied on it;
- complain to the Information Regulator (South Africa) — enquiries@inforegulator.org.za, or POPIAComplaints@inforegulator.org.za for complaints.
To exercise any of these, email admin@jaxn.co.za. We may need to verify your identity before acting on a request.
9. Cookies and analytics
Our website uses essential cookies to function and analytics cookies to understand usage in aggregate. Our analytics is configured to anonymise your IP address. You can control cookies through your browser settings; blocking some cookies may affect how the site works.
10. Security
We take reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. No online service can be guaranteed perfectly secure, but we work to keep your information safe and will notify you and the Regulator of a security compromise affecting your personal information, as required by law.
11. Changes to this policy
We may update this policy from time to time. The current version, with its effective date, is always posted here.
12. Contact
For any privacy question or request, contact our Information Officer, Bradley Jackson, at admin@jaxn.co.za.
